Welcome to this guide on how to monitor the onboarding process effectively. Here, we will walk you through the various elements involved, focusing on the dashboard that provides key insights into the onboarding stages.
Dashboard overview
The dashboard contains three main sections related to onboarding:
-
Onboarding in progress
-
Onboarding on hold
-
Recently onboarded
Let's explore each of these sections in detail.
Onboarding in progress
The "onboarding in progress" tile displays the current status of ongoing applications. You will find crucial details such as the applicant’s name, applicant ID, owner, and the onboarding status. Understanding these statuses is essential for efficient monitoring:
-
Application initiated: a new application that has not yet been reviewed by an employee. The information has been submitted by you or the client but awaits handling by a KYC specialist.
-
In due diligence: the application is under review. No action is required at this stage.
-
Pending with client: We have returned the application to you, requiring additional information from either you or the client.
-
Closed: the application will not proceed further.
-
Approved: the application is formally approved, but the technical client creation is still pending.
The most critical statuses to monitor are "in due diligence" and "pending with client." The former indicates that we are taking action, while the latter requires your or the client's input.
You can filter applications by status and time frame. For instance, selecting "in due diligence" might show you 15 applicants currently under review. You can also filter by the date of the last update, such as today, the past two days, 30 days, or 90 days.
Onboarding on hold
The "onboarding on hold" tile shows applications with the status "pending with client." These applications require additional information or action from you or the client. When an application has this status, it appears in the "onboarding on hold" section.
Recently onboarded
The "recently onboarded clients" tile displays applications that have been completed. The status here is "completed," and you can filter by the period of completion, such as the last seven or 30 days. Additionally, you can check if the account has been funded or if any trades have been conducted on the account.
Communication during onboarding
Returning to the "onboarding in progress" tile, let's discuss the communication process based on the client's status:
In due diligence: you can communicate directly with us. For instance, you can send a message requesting an update, and the latest messages you have sent will be visible in this section.
Pending with client: you or the client must provide additional information. By clicking on the client details, you will see a message requesting more information, such as proof of identity. You can upload and submit the necessary documents here.
Summary
Monitoring the onboarding process involves understanding the various statuses and their implications. The primary statuses are "pending with client" and "in due diligence," each requiring different communication methods. For "in due diligence," you can send messages to us, while "pending with client" involves following a hyperlink to provide additional information. By effectively using the dashboard and understanding these processes, you can ensure a smooth onboarding experience for your clients.
Authorization Roles
Access to Client Onboarding is controlled via authorization roles. Separating the role accesses will allow for increased compliance and control. Please read which roles are applicable for Client Onboarding here.
